Why most stock control software fails timber merchants (and what to look for instead)

Most inventory software is built around a simple idea: buy a unit, stock a unit, sell a unit.


Timber doesn't work that way.


A 3.6m length becomes a 2.9m length and an offcut. A pack gets broken to fulfil one order and the remaining pieces need tracking individually. Raw material goes into the mill and comes out as something different.

 

It's why so many timber merchants end up running the official system alongside a spreadsheet that actually reflects what's on the yard.

If several of these mismatches describe your current setup, you're probably compensating with spreadsheets or manual workarounds.


What to look for: the checklist

Length has to be a first-class field

Generic distribution software tracks quantity. Timber software needs to track length, cross-section and volume together, and apply the right level of control per product type.

 

Softwoods and sheet materials typically work on a fixed cross-section with variable lengths. High-value hardwoods, where individual piece dimensions affect pricing and margin, often need each piece recorded separately.


A system that forces one approach across the whole range will either over-complicate softwood stock or under-represent what's actually in the hardwood bay.

 

Look for software that lets you set this per product - not as a workaround, but as a standard configuration option.


Pack integrity, not just totals

Timber arrives in packs, but customers don't always buy a full pack. Software needs to handle both pack sales and individual piece sales without losing track of what's left - and without forcing staff to break a pack open unnecessarily.

 

Get this wrong and the consequences are predictable: quantity mismatches, loose pieces scattered round the yard with no clear stock record, and purchasing decisions based on figures that don't reflect what's actually available.


Good software keeps a pack intact until it needs breaking, and maintains an accurate piece count at both levels throughout.

Milling as part of stock control, not separate from it

If milling is treated as a separate process - recorded manually, reconciled later - stock figures will always lag behind what's happening on the yard.

 

Raw material consumption and finished product creation need to be captured together in real time. Offcuts need to be valued accurately rather than returned to stock at full price per cubic metre. A short offcut from an expensive hardwood board is still worth something, but not what the parent piece cost per unit volume.

 

If a system can't handle this natively, you'll be maintaining a parallel record somewhere else.

Units that match how you trade

Timber businesses routinely buy in one unit and sell in another - cubic metres from a supplier, running metres to a customer, with the conversion happening somewhere in between.


If the system can't handle that internally, someone is doing the maths manually and introducing rounding errors into costs and margins in the process.

 

Look for software that handles imperial and metric simultaneously, with live unit conversions built into the order rather than bolted on. Mixed measures are a normal part of trading; the system should treat them that way.


Measurement precision that matters for costing

Volume calculations in timber need to work to three decimal places or better.


Rounding errors that look trivial at product level compound quickly across a full stock holding - and when you're costing high-value hardwoods, the difference between an accurate volume and a rounded one shows up directly in margin.

 

This is rarely a headline feature in a sales demo, but it's worth asking about specifically before committing to a system.

 

Certification tracking built into stock, not filed separately

For merchants trading certified timber, FSC and PEFC documentation needs to follow the stock - not live in a folder somewhere that has to be reconciled manually at the point of sale.


A system that can attach certification to specific lots, track chain of custody, and generate compliant documentation automatically removes a significant administrative overhead and reduces the risk of audit gaps.

Reporting that reflects how timber moves

Knowing the total volume in stock isn't the same as understanding what's happening with it.


Useful reporting for a timber merchant means product-level dashboards showing stock levels, sales activity and movement trends together — so slow-moving lines are visible without an export to Excel first, and demand patterns can inform purchasing decisions before you're either overstocked or short.

 
Integration with the rest of the business

Stock control that doesn't connect to purchasing, sales and accounting creates a reconciliation problem at month end.


Pricing and cost data needs to feed directly into quotes and orders, and the system needs to integrate properly with your accounting platform - whether that's Xero, Sage, QuickBooks or iplicit - rather than requiring a separate data transfer step.
