Start with this checklist

Switching ERP systems is a big decision, and it's not one you want to get wrong. This checklist walks you through what really matters, so you can evaluate your options with a clear head instead of getting swept up in a sales pitch.

Time to consider your options

Most merchants don't switch ERP systems often. When you do, you're usually living with that decision for the best part of a decade, so a few hours spent getting the evaluation right can save you years of working around the wrong choice.

 

A few things tend to separate a good decision from a rushed one:

You're comparing against your own needs, not just a features list.

The system with the longest spec sheet isn't automatically the best fit for a timber merchant or steel stockholder.

You've looked past the initial licence cost.

Implementation time, data migration, training, and ongoing support all add up, and they rarely show up on the pricing page.

You know whether the platform is actually built for your industry...

...or whether it's a generic ERP with a few trade-specific bolt-ons.

You've thought about where the platform is headed...

...not just where it is today. Some systems are approaching the end of their on-premises life; others are cloud-native from day one.

The Checklist

Work through these five areas before you commit to anything.

Fit for how you actually work

Does the system handle branch-to-branch stock transfers, trade pricing structures, delivery scheduling, and supplier accounts the way your business actually runs, or would you be bending your processes to fit the software?

Total cost, not just licence cost

Add up the licence fee, implementation, data migration, training, and any ongoing support charges.

 

Ask what happens to that cost if you need to add users or locations later.

Cloud-native vs. migrated-to-cloud

Some platforms were built for the cloud from the start. Others have been retrofitted, or are partway through a multi-year migration of their own. Ask your shortlist directly where they sit, and what their support timeline looks like for the next five to ten years.

Integrations that actually matter to you

Check the system connects properly with your accounting software (Xero, QuickBooks, Sage, or similar), your ecommerce platform if you sell online, and any transport or delivery management tools you rely on.

Support and ongoing development

Ask how often the platform ships updates, how support requests are handled, and whether the roadmap is driven by customers like you or by a much broader, more generic user base.
